Data processing terms

These documents describe how the Service actually works, but no lawyer has reviewed them. Before you start selling, show them to a legal professional in your country — especially the parts on liability, refunds and data transfers.

1. Why this document exists

By putting your clients' data into the Service you become the one who decides the purposes of processing, and we become the one who processes on your instructions. European regulation requires those instructions to be written down. Here they are.

2. Subject of the instructions

We process your clients' and staff data only so that the Service works: storage, display, search, calculations, and the notifications you switched on.

Processing lasts as long as your workspace exists.

3. Whose data and what kind

Your clients: name, phone, email, booking and payment history, notes you made about them.

Your staff: name, email, role, shifts, tasks.

4. Our obligations

Process data only on your instructions, except where processing is required by law.

Keep it confidential: only staff who need access for their work have it, and they are bound by confidentiality.

Help you answer your clients' requests about their rights.

Tell you about a breach without undue delay and no later than 48 hours after we learn of it.

5. Security measures

Workspace separation at database level: access rules are enforced by the database itself, not only by the application.

Encryption in transit and at rest, limited staff access, a change log for money records, backups.

6. Sub-processors

The providers listed in the privacy policy. We require them to meet conditions no lower than those described here. We announce a replacement or addition in advance, and you may object.

7. Transfers outside the EU

Storage is in the EU. What leaves it is only what you send to Inbox for recognition: such transfers rely on the European Commission's standard contractual clauses.

If you do not use recognition, the data does not leave the EU.

8. Return and deletion

You can export your data in the Account section. After a workspace is closed we delete it within the periods stated in the privacy policy.

9. Audit

On a reasoned request we provide information confirming compliance with these terms, no more than once a year and without disclosing other customers' data.
